OC Acupuncture Phone ReceptionPrivacy Notice — OC Acupuncture Phone Reception
Effective October 31, 2026.
OC Acupuncture Treatment Center operates OC Acupuncture Phone Reception to answer clinic questions and assist with appointments. This notice covers the telephone receptionist and its Google Calendar connection. It does not replace any applicable clinic Notice of Privacy Practices.
Information we process
The receptionist processes call audio and conversation text, and information you provide such as your name, telephone number, email address, new or returning patient status, a brief reason for your visit, requested services, and preferred appointment date and time. It may receive caller ID and ask you to confirm the contact number. This information supports your inquiry, information confirmation, and appointment arrangements. Please do not provide payment-card details, Social Security numbers, or detailed medical records unrelated to scheduling during an appointment call.
Google Calendar access
With authorization from the clinic's account holder, the application checks availability in designated calendars and creates appointments in the selected clinic calendar. Appointment records may contain your name, contact details, brief visit reason, and requested services. If you provide an email address, the application requests a Google Calendar invitation. Patients do not need to provide a Google password or authorize access to their own Google accounts.
Service providers
Twilio handles telephone connectivity; OpenAI processes audio and text for the conversation; DigitalOcean hosts the application and operational data; and Google Calendar stores appointments and handles invitations. Relevant information is transmitted to these providers to perform their functions. The application supplies the conversation model with scheduling availability and information about the current appointment; it does not intentionally send the contents of other patients' calendar events to the model.
Storage and protection
The current application does not enable stored call recordings or write complete call audio or conversation transcripts to its own application logs. This does not mean that providers retain no data. The application stores booking-operation records and necessary operational logs, appointments remain in Google Calendar, and the server has weekly backups. Provider processing and retention also depend on their agreements, account settings, and policies.
The application currently has no single automatic deletion period. Contact the clinic to request access, correction, or deletion. Requests will be handled according to applicable requirements and the records actually held. Backup copies and records that must be retained may not be immediately deletable.
Google user data commitments
Information obtained through Google APIs is used only to provide and maintain appointment functionality. It is not sold, used for advertising targeting, or used to train general-purpose AI models. The application's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.
The clinic account holder can revoke application access through Google Account settings. Revocation prevents further calendar access and appointment creation; it does not automatically delete existing appointment records.
